Online Giving Built for Churches

FaithfullyGiving can keep your church's QuickBooks Online books up to date for you. Every bank payout of online gifts becomes one QuickBooks deposit that matches your bank statement to the cent, split by fund. Cash and checks you record go in too, and so does FaithfullyGiving's own bill. Let's walk through it with The Church at Antioch, our demo church, connected to a QuickBooks test company.

To set it up, a church admin opens Settings, then the Integrations tab, and clicks Connect to QuickBooks. You sign in to QuickBooks, choose your church's company, and you're back here, connected. FaithfullyGiving only asks for access to your accounting data. Test connection checks the link at any time, and Disconnect stops new entries without touching anything already in your books.

Next, choose what gets sent. Online gifts arrive as one deposit per payout, with refunds and returned payments included. Cash and checks you record in FaithfullyGiving become deposits too. And FaithfullyGiving's monthly bill can go in as an expense. Turn on Send automatically, and each item goes to QuickBooks as soon as it's ready. Leave it off, and nothing is sent until you press Send. A start date keeps FaithfullyGiving from sending anything you've already entered by hand.

Then tell it where things go: the bank account your payouts land in, the account for cash and check deposits, and the accounts for FaithfullyGiving's bill and any fees. Below that, each giving fund maps to its own income account. If you track funds with classes in QuickBooks, you can choose a class for each fund too. Click Save.

Before anything is sent, the preview shows exactly what FaithfullyGiving will create in QuickBooks: every deposit and expense, with its date and total. Ready means it can be sent. In QuickBooks, with a check mark, means it's there, and QuickBooks' total matches ours to the cent.

Open any item to see its lines. This two hundred forty dollar payout is split by fund: gifts to the Needy Saints Fund and the General Fund, and a fifty dollar Building Fund refund as a negative line. The total is exactly what reached the bank.

A cash and checks deposit works the same way, with the check numbers in the description, so your deposit slip and your books line up.

FaithfullyGiving's bill comes in as one expense, itemized: the subscription, any add-ons, email and text usage, and any dispute or return fees, each to the account you chose.

A payout's gift details come from our payment processor, Finix. Until they arrive, the payout shows Waiting for Finix, and automatic sending holds it. You can still send it yourself; the whole amount then goes to your default income account.

Send one item, or Send all ready. Every entry is checked after it's sent, and FaithfullyGiving keeps a record of everything it created, so pressing Send twice never makes a duplicate. Open in QuickBooks takes you straight to the entry.

Your payouts are in FaithfullyGiving too. Under Giving, the Payouts tab lists every deposit to your church's bank, with its gifts and refunds.

Open one to see exactly which gifts made it up: the donor, the fund, and how they gave. It's the same breakdown your QuickBooks deposit uses.

QuickBooks works in the FaithfullyGiving phone and Windows apps as well. Connect once, and your church's books stay current, matched to your bank, fund by fund.
