Accessing Media Upload

Navigate to Media

From your admin dashboard, go to Media in the main navigation menu.

Click Upload

Click the + Upload Media button to open the upload dialog.

Selecting Your File

Choose Media Type

Select the type of media you're uploading:

  • Audio: MP3, WAV, M4A files (sermons, worship recordings)
  • Video: MP4, MOV, AVI files (sermon videos, event recordings)
  • Podcast: Audio files specifically for podcast distribution
  • Document: PDF, DOCX files (bulletins, study materials)

Select or Drag File

Click to browse your computer or drag and drop a file into the upload area.

File Size Limits

Maximum file size varies by plan: Free (100MB), Standard (500MB), Premium (2GB). Contact support for larger files.

Adding Metadata

Enter Title

Give your media a clear, descriptive title (e.g., "Walking by Faith - January 15, 2026").

Add Details

Fill in additional information to help organize and find your media:

  • Speaker: Select or add the speaker (pastor, guest speaker)
  • Date: When the content was recorded or presented
  • Description: Brief summary of the content
  • Scripture References: Bible passages covered (e.g., John 3:16)
  • Tags: Keywords for searching (faith, prayer, family, etc.)
  • Series: Link to a sermon series if applicable

Upload Thumbnail (Optional)

Add a custom thumbnail image that displays in the media library and when shared. Recommended size: 1280x720 pixels.

Set Visibility

Choose who can access this media:

  • Public: Anyone can view (appears on public church page)
  • Members Only: Only logged-in members can access
  • Private: Only admins can access (for drafts or internal content)

Upload

Click Upload to add the media to your library. Large files may take a few minutes to process.

Tip: Upload sermons right after your service while details are fresh. You can always edit metadata later if needed.

AI Content from Media Admin

Request transcription and generate AI content from your uploaded media.

Transcription for Uploaded Media

Unlike recordings made in Recording Studio, uploaded media files need transcription requested separately:

Open Media Item

Click on any audio or video file in your media library.

Request Transcription

Click the Transcribe button and select your language options.

Wait for Processing

Transcription typically takes 2-5 minutes. You'll receive a notification when complete.

Cost

Transcription: $0.02/minute | AI Content: ~$0.04 per content type

Generating AI Content

Once transcription is complete, you can generate AI content:

Click Generate Content

From the media item, click Generate AI Content or the AI icon.

Select Content Types

Choose from the 8 available content types:

Outlines
Summaries
Detailed Notes
Study Guides
Key Points
Discussion Q's
Scripture Index
Application Points

Generate and Access

Click Generate. Content appears in the Documents tab of your media item within 30-60 seconds.

Managing Associated Documents

View all AI-generated and manually uploaded documents for a media item:

  • View: Read content in the browser
  • Edit: Make changes to AI-generated content
  • Download: Export as PDF or text
  • Delete: Remove content you don't need
  • Regenerate: Create new version with different AI model
Tip: Review AI-generated content before sharing. While the AI is accurate, you may want to add personal touches or correct any theological nuances.

Media Library Management Admin

Organize your media library with tags, series, and search-friendly metadata.

Library Overview

The media library displays all your uploaded content with:

  • Thumbnail previews
  • Title, speaker, and date
  • Media type icons (audio, video, podcast, document)
  • Transcription and AI content status indicators

Filtering and Searching

Quick Filters

Use the filter bar to narrow your view:

  • Type: Audio, Video, Podcast, Document
  • Speaker: Filter by specific speaker
  • Series: View sermons in a specific series
  • Date Range: Filter by upload or recording date
  • Tags: Filter by content tags

Search

The search bar searches across:

  • Titles and descriptions
  • Speaker names
  • Scripture references
  • Tags
  • Transcript content (if transcribed)
Tip: Searching transcripts is powerful! Search for "forgiveness" to find every sermon that mentions the topic, even if it's not in the title.

Organizing with Series

Group related sermons into series:

Create a Series

Go to Media > Series and click + New Series. Add a name, description, and optional cover image.

Add Media to Series

When uploading or editing media, select the series from the Series dropdown.

Reorder Series Items

In series view, drag items to set the order they appear.

Editing Media

Update media details at any time:

Open Media Item

Click on the media in your library.

Click Edit

Click the Edit button to modify any metadata fields.

Save Changes

Click Save to apply your updates.

Bulk Actions

Manage multiple items at once:

  1. Check the boxes next to media items
  2. Use the bulk action menu to:
    • Add to series
    • Add tags
    • Change visibility
    • Delete

Sharing Media Admin

Share sermons and media with your congregation and beyond.

Visibility Settings

Control who can access your media:

Public

Anyone can access. Appears on your church's public media page. Great for outreach.

Members Only

Only logged-in members can view. Good for internal teaching content.

Private

Only admins can access. Use for drafts or sensitive content.

Sharing Options

Direct Link

Share a direct link to any media item:

Open Media Item

Click on the media you want to share.

Click Share

Click the Share button to see sharing options.

Copy Link

Copy the direct link to share via email, text, or messaging apps.

Social Media

Share directly to social platforms:

  • Facebook - Creates a post with media thumbnail and title
  • Twitter/X - Shares link with customizable text
  • Email - Opens email client with pre-filled message

Embed Code

Embed media on your church website:

Get Embed Code

In the share dialog, click Embed to see the HTML code.

Copy and Paste

Copy the code and paste it into your website's HTML where you want the media player to appear.

QR Code

Generate a QR code for bulletins and displays:

In the share dialog, click QR Code.

Download or Print

Download the QR code image to include in printed materials or display on screens during service.

Tip: Add a QR code to your bulletin that links to the current sermon. Members can scan to listen again or share with friends who missed the service.

Member Access

Members can access media through:

  • Church App: Browse and play media in the mobile app
  • Web Portal: Access at app.fgv.church/media
  • Direct Links: Shared links work on any device
  • Notifications: Send push notifications when new content is posted
